Privacy Policy
Last updated: 14 October 2026
This policy explains what information Cylicon Software Solutions (“we”, “us”) collects when you use Invoice AI, how we use it and the choices you have. It is written to meet the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 of India.
1. Information we collect
- Account details: your name, email address, your organization’s name and, if you give them, GSTIN and address.
- Business records you add: customers, invoices, uploaded supplier invoices and the details read from them, and the results of checks run on them.
- Payment records: the plan you bought, amounts, dates and Razorpay payment and subscription references. Card, UPI and bank details are entered on Razorpay’s secure checkout and are never sent to or stored by us.
- Technical records: IP address, browser details and request logs, kept to run the service securely and to investigate problems, and an audit trail of actions taken in your workspace.
2. How we use it
- to provide Invoice AI: create invoices and PDFs, store and check documents, and keep your audit trail;
- to manage your subscription, take payments and issue receipts;
- to send service emails, such as password-reset links and important account notices;
- to keep the service secure, prevent misuse and meet our legal and tax obligations.
We do not sell your information, and we do not use it for advertising.
3. Cookies
We use a single essential cookie to keep you signed in. We do not use advertising or tracking cookies, or third-party analytics.
4. Who we share it with
Only with service providers that help us run Invoice AI, and only as needed:
- Google Cloud, which hosts our servers and database in India (Mumbai region);
- Razorpay, which processes subscription payments;
- Google (Gmail), which delivers our service emails.
Invoice AI can use an AI service to read uploaded supplier invoices. Before any such service is used, we will name it in this policy. Until then, document details are read on our own servers or entered by you.
We may also disclose information when Indian law or a lawful order requires it.
5. Security
All traffic is encrypted with HTTPS. Passwords are stored only as one-way hashes. Each organization’s data is kept separate, access within a workspace follows the roles you assign, and we keep regular backups. No system is perfectly secure, but we work to protect your information and will inform affected users of a breach as the law requires.
6. How long we keep it
We keep your information while your account is active. If you ask us to close your account, we delete or anonymize your information, except records we must keep by law, such as invoices and payment records kept for the periods required by Indian tax law. Backups are overwritten within a few weeks.
7. Your rights
You can view and correct most of your information in the app. You can also ask us for a copy of your information, to correct it, to delete it, or to withdraw consent, by writing to s.j.nambukannan@gmail.com or +91 93846 66459. We reply within 30 days.
8. Grievance contact
For questions or complaints about your information, contact our grievance officer, S.J. Nambukannan, at s.j.nambukannan@gmail.com or +91 93846 66459. See also our Contact Us page.
9. Changes to this policy
We will post any changes on this page with a new “Last updated” date, and tell you by email about important changes.
